Your Personal Data
Who this concerns
This policy is about how we use data held for those on our mailing list or who attend our conferences.
We have a separate policy for those who study or have studied on the Cornhill Training Course.
What we need
The Proclamation Trust will be what’s known as the ‘Controller’ of the personal data you provide to us. We only collect basic personal data about you which does not include any special types of information (other than dietary requirements) or location based information. This does however include name, address, email etc.
Why we need it
We need to know your basic personal data in order to provide you with our services, particularly in order for you to make bookings for our conferences. We will not collect any personal data from you we do not need in order to provide and oversee this service to you. We gather the data to enable us to fulfill our contract with you for your booking. We retain the data after the event for our legitimate business interests, including to inform you of future similar events. You may ask us to delete such data at any time (see What are your rights?, below).
What we do with it
All the personal data we process is processed by our staff in the UK, although for the purposes of IT hosting and maintenance this information may be located on servers within the European Union. Financial transactions are handled by our card payment service providers. We will share transaction data with our payment services providers only to the extent necessary for the purposes of processing your payments, refunding such payments and dealing with complaints and queries relating to such payments and refunds. No other third parties have access to your personal data unless the law allows them to do so. We do not share your data with other organisations.
We have a Data Protection regime in place to oversee the effective and secure processing of your personal data.
What we would also like to do with it
We would however like to use your name, email address and postal address to inform you of our future conferences and our free online resources. This information is not shared with third parties and you can unsubscribe at any time via phone, email or our website. We will only use your details for this purpose if you have given your explicit consent, which you may revoke at any time by contacting us.
At some conferences, many fellow delegates benefit from us sharing your contact details with them on your behalf (to save having to swap phone numbers, addresses etc at the conference). On each occasion you make a booking for such a conference, we will explicitly ask you if we may share that information with others at that one conference. If you give your consent, we will do so (but not otherwise). Such information is only ever shared with others at the same conference as you, and fellow delegates are asked to use the list for personal use only (e.g. not to create a mailing list).
How long we keep it
We are required for accounting purposes to keep your basic personal data (name, address, contact details) for a minimum of 7 years. Your information we use for marketing purposes will be retained until you notify us that you no longer wish to receive this information (which you may do at any time). Beyond 7 years, and if you have not requested we keep in touch with you for marketing purposes, we retain only sufficient data as is necessary for statistical purposes or to meet our legal obligations.
What are your rights?
If at any point you believe the information we process on you is incorrect you may request to see this information and even have it corrected or deleted. If you wish to raise a complaint on how we have handled your personal data, you can contact us and we will investigate the matter.
If you are not satisfied with our response or believe we are processing your personal data not in accordance with the law you can complain to the Information Commissioner’s Office (ICO).
